Get Paid to Drive Your Child to School

Summary

In January 2023, Unit 4’s Board of Education approved a transportation reimbursement agreement allowing families who qualify for yellow bus transportation to provide their own transportation for their student(s) to and from school. Families who opt in will receive a reimbursement from Unit 4 Schools. Eligibility for yellow bus transportation is determined if a student lives within 1.5 miles or more of their assigned school.

How to Sign Up

  1. Send an email to u4parentcontract@u4sd.org with your intention to enter the Transportation Reimbursement Program.

  2. Upon confirmed receipt of your intention, we will inform you that you are now a contractor with Unit 4 and remove your child from bus routes. This is the date your reimbursement begins.

  3. Unit 4 will send you an Information Form, Reimbursement Agreement, and request proof of liability insurance. Once these forms are completed and returned, reimbursement can begin to process.

Who is eligible?
All students who qualify for District-provided yellow bus transportation.

Are students who ride MTD buses eligible?
No.

Why should I consider doing this?
We know that many of our families who qualify for bus service have access to a personal vehicle they could use to transport their students. Many of our families do not have access to a vehicle, however. If you are able to provide your own transportation, this allows us to improve reliability and efficiency for those students who must use our services. It’s one way you can indirectly lend a hand to other members of our Unit 4 family as we work through a bus driver shortage that is impacting districts across the nation.

What if I have more than one child in a school building?
Families are only reimbursed for the cost of transportation once per building since they are taking all students in the household to and from school at the same time.

What if I have students at multiple school buildings?
We will calculate reimbursement from your home to the first school. We will then calculate reimbursement from the first school to the second school (and then the third school, if applicable).

Can I be reimbursed for morning drop-off and have my student ride the bus in the afternoon? Can they ride the bus in the morning and can I be reimbursed for the afternoon?
The parent/guardian contract is an agreement that the parent/guardian will provide transportation to and from school. Mileage reimbursement is for parents/guardians that completely opt out of bus service.

What is the reimbursement rate?
This is determined annually by the IRS. It is currently $0.655 per mile.

How will I document my mileage?
No documentation from you is needed. We will do everything for you by using the mileage between your home and school in the District’s Transportation routing software and multiplying it by the number of days your student was in attendance according to our Student Information System.

What do I need to provide to participate?
You will need to provide a copy of your automobile insurance Declaration Page showing at least $100,000 in liability coverage. You will also need to complete a form to set up an account in our system to process payments. Your Social Security number is required on this form.his form.

Why do you need these things from me?
We have reviewed these requirements with our legal counsel, insurance provider, the Illinois State Board of Education, and auditors. You will be considered a “contractor” for the District and these things are needed to process the payment.

What if I am not comfortable sending this information via email?
You may hand-deliver your forms to the Windsor Administrative Center (502 W. Windsor Road, Champaign) for processing. You may also leave this field blank and call us at (217) 373-7320 to provide the information over the phone.

How do I sign up?
Simply email us at u4parentcontract@u4sd.org expressing your interest. Once we receive this initial email from you, we will send you more details about the program, including a sample Agreement. Once you review everything, you will confirm that you meet the insurance requirement and still want to participate.

What will happen after I confirm my interest?
Your student will be removed from their assigned bus and will no longer be provided bus service. We will then work with you to finalize the paperwork to get your reimbursement processed. Everything must be returned to ensure you get paid!

Is there a deadline to apply?
While there technically is no deadline, by letting us know as soon as possible, you are helping us create a better experience for those students who absolutely must ride the bus.

Can I backdate my reimbursement if I sign up after the school year starts?
The reimbursement period begins once you have confirmed your interest in the program via email. This is the date we will use on the final Agreement.

How will you handle reimbursement for students who split time between households?
We will only provide reimbursement to one parent/guardian. Multi-household families should work out the details regarding who will submit the request among themselves before submitting paperwork to us.

When should I expect reimbursement?
Agreements finalized before the end of the semester will be processed no later than 30 days after the end of each semester. Payments for Agreements received after a semester has ended will be delayed, so it is important that you return everything promptly.

In what form is the reimbursement sent (cash, check, debit card, etc.)?
Reimbursement will be paid with a paper check mailed to the parent/guardian address on file in our Student Information System.

Is the reimbursement taxable?
Families will only receive a Form 1099 if reimbursement payments exceed $600 in any one calendar year.
